Our rates typically range from $5.00 to $9.00 USD per hour, depending on the role's complexity. A General Admin VA is at the lower end, while a specialized HIPAA-compliant Medical VA or a Senior Video Editor will be higher. There are no hidden fees—you pay a flat monthly rate that covers their salary, benefits, and HR management.
Are there long-term contracts?
No. We operate on a year-to-year basis. We believe we should earn your business every year. If you need to cancel, we simply require a 30-day notice at the time of renewal to offboard the agent professionally.
Do I have to pay taxes for my VA?
No. You pay Assist X VA (a US Company) a flat fee for the service. We handle all payroll, taxes, social security, and health benefits for the agents in the Philippines. For your accounting, this is a simple B2B expense (Consulting/Contractor fee), 100% tax-deductible.

Is my data safe with an overseas VA?
Yes. Security is our #1 priority. All agents sign strict Non-Disclosure Agreements (NDAs) enforceable in both the US and Philippines. We require business password managers (like LastPass) so agents never see your actual banking passwords — white-glove security without enterprise bloat. For sensitive industries, we set up Virtual Desktop Infrastructures (VDI) so data never leaves your cloud environment.
Are your Medical VAs HIPAA Compliant?
Absolutely. Every Medical VA undergoes rigorous HIPAA training before they see a single patient file. We sign a Business Associate Agreement (BAA) with your practice, legally binding us to US privacy standards. We use encrypted VPNs to access your EMR/EHR systems.

How fast can I get started?
We can typically place a candidate within 3 to 5 business days. We maintain a pool of pre-vetted talent. Once you select a candidate, onboarding usually takes 24-48 hours to set up IT and accounts.
What if I don't like the agent?
We offer a Replacement Guarantee. If the fit isn't right within the first week, we will replace the agent immediately at no extra cost to you. We handle the awkward firing conversation so you don't have to.
What hours do they work?
They work your hours. Whether you are in EST (New York), PST (Los Angeles), or GMT (London), our agents work the night shift in the Philippines to align perfectly with your business day.

How do I communicate with my VA?
We integrate into your existing stack. Most clients use Slack, Microsoft Teams, or WhatsApp for daily chatter, and Zoom/Google Meet for weekly syncs. Your VA becomes a true extension of your local team.
Do you provide the software?
The client is responsible for providing licenses for proprietary software (like Salesforce or specialized EMRs). However, our agents come equipped with their own hardware, high-speed internet, and noise-canceling headsets.
